  1. Welcome to Supply Logic 365

Supply Logic 365 is a maritime supply management solution designed for ship suppliers and maritime service companies. It extends Microsoft Dynamics 365 Business Central with functionality for managing vessels, customers, quotations, purchasing, inventory, deliveries, proof of delivery and related ship-supply operations. 

This Help Guide provides an overview of the main functions and explains how users can perform common tasks. 

 

  1. Getting Started

2.1 Logging In 

Users access Supply Logic 365 through their organization’s Microsoft Dynamics 365 Business Central environment. 

To access the system: 

  1. Open the Business Central application. 
  1. Enter your organizations’ credentials. 
  1. Select the appropriate company. 
  1. Open the Supply Logic 365 functions from the Business Central menu. 
  1. Confirm that your assigned user permissions are available. 

If you cannot access Supply Logic 365, contact your system administrator or Directional support. 

 

2.2 User Permissions 

Access to Supply Logic 365 functions depends on the permissions assigned to your user account. 

Typical user roles may include: 

  • Sales User

  • Warehouse User

Users should only be given access to functions required for their responsibilities. 

 

  1. Supply Logic 365 Dashboard

The Supply Logic 365 dashboard provides access to commonly used maritime supply functions. 

Depending on your configuration, the dashboard may provide access to:

  1. Customer Management

Supply Logic 365 allows users to manage customer information within Business Central. 

4.1 Create a Customer 

To create a customer: 

  1. Open Customers. 
  1. Select New. 
  1. Enter the customer name. 
  1. Enter address and contact information. 
  1. Enter applicable payment and commercial information. 
  1. Assign relevant customer pricing or discount information. 
  1. Select Save. 

4.2 Customer Information 

Customer records may contain: 

  • Customer name 
  • Address 
  • Contact person 
  • Telephone 
  • Email 
  • Payment terms 
  • Currency 
  • Credit limit 
  • Pricing information

  1. Vessel Management

Vessel management is a key function of Supply Logic 365. 

5.1 Create a Vessel 

To create a vessel: 

  1. Open Vessels. 
  1. Select New. 
  1. Enter the vessel name. 
  1. Enter the IMO number where applicable. 
  1. Enter vessel type. 
  1. Enter flag or registration information. 
  1. Enter owner, manager or operator information. 
  1. Enter relevant contact information. 
  1. Save the vessel record. 

5.2 Vessel Information 

A vessel record may contain: 

  • Vessel name 
  • IMO number 
  • Vessel type 
  • Flag 
  • Owner 
  • Ship manager 
  • Operator 
  • Contact details 
  • Current or expected port 
  • Previous supply history 
  • Open quotations 
  • Sales orders 
  • Delivery history 

 

  1. Port Management

Supply Logic 365 can be configured to maintain port information used during ship-supply operations. 

Port information may include: 

  • Port name 
  • Port code 
  • Country 
  • Location 
  • Terminal 
  • Contact details 
  • Delivery information 
  • Local charges 
  • Operational notes 

Users should maintain accurate port information to support quotation, delivery and logistics activities. 

 

  1. Quotation Management

Supply Logic 365 enables users to prepare and manage quotations for vessel supply requirements. 

7.1 Create a Quotation 

To create a quotation: 

  1. Open Sales Quotations. 
  1. Select New. 
  1. Select the customer. 
  1. Select the vessel. 
  1. Enter the delivery port. 
  1. Enter requested delivery date or time. 
  1. Add required items. 
  1. Enter quantities. 
  1. Review pricing and discounts. 
  1. Add applicable charges. 
  1. Review the quotation. 
  1. Send or print the quotation. 

7.2 Quotation Status 

A quotation may have statuses such as: 

  • Open 
  • Pending Approval 
  • Sent 
  • Accepted 
  • Rejected 
  • Expired 
  • Converted 

The exact status workflow depends on the customer’s configuration. 

 

  1. Sales Order Management

An accepted quotation may be converted into a sales order. 

8.1 Create a Sales Order 

To create a sales order: 

  1. Open the relevant quotation. 
  1. Confirm customer and vessel details. 
  1. Confirm items and quantities. 
  1. Confirm delivery port. 
  1. Confirm requested delivery date. 
  1. Review pricing. 
  1. Convert the quotation to a sales order. 
  1. Review the resulting sales order. 
  1. Release or process the order according to company procedures. 

 

  1. Purchasing

Supply Logic 365 supports purchasing activities required to fulfil ship-supply orders. 

9.1 Purchase Order 

A purchase order may be created to procure goods from a supplier. 

Typical steps include: 

  1. Review the sales order. 
  1. Identify required items. 
  1. Check available inventory. 
  1. Identify the supplier. 
  1. Create the purchase order. 
  1. Enter quantities and expected delivery date. 
  1. Submit for approval where required. 
  1. Send the purchase order to the supplier. 
  1. Receive the goods. 

 

  1. Inventory Management

Inventory management provides visibility over stock required for ship-supply operations. 

Users may manage: 

  • Item master data 
  • Stock quantities 
  • Locations 
  • Bins 
  • Stock movements 
  • Reserved inventory 
  • Available inventory 
  • Reorder requirements 
  • Purchase requirements 

10.1 Check Inventory 

To check stock: 

  1. Open Items. 
  1. Search for the required item. 
  1. Review available quantity. 
  1. Review inventory by location. 
  1. Review reserved quantities. 
  1. Check incoming purchase orders if required. 

 

  1. Warehouse Management

Warehouse users may use Supply Logic 365 to manage preparation and fulfilment of ship-supply orders. 

Typical warehouse activities include: 

  1. Receive goods. 
  1. Put goods into the appropriate location. 
  1. Review sales order requirements. 
  1. Pick required items. 
  1. Verify quantities.

Proof of Delivery (“POD”) records provide evidence that goods have been delivered. 

Depending on the configuration, POD may include: 

  • Vessel name

  • Delivered quantities 
  • Recipient name 
  • Recipient signature 
  • Photographs 
  • Delivery notes 
  • Delivery documents 

13.1 Complete a POD 

  1. Open the relevant delivery. 
  1. Confirm delivered quantities. 
  1. Record any shortages or discrepancies. 
  1. Capture recipient details. 
  1. Capture signature where applicable. 
  1. Attach photographs or documents if required. 
  1. Submit the POD. 
  1. Update the delivery status.

Supplier records can be maintained to support purchasing and procurement.

Find a Vessel 

Vessels → Search → Enter vessel name or IMO number 

Find a Customer 

Customers → Search → Enter customer name 

Create a Quotation 

Sales → Quotations → New 

Convert a Quotation 

Open Quotation → Review → Convert/Create Sales Order 

Create a Purchase Order 

Purchasing → Purchase Orders → New 

Check Inventory 

Items → Search Item → Review Inventory 

View Delivery 

Operations → Deliveries → Search Delivery 

Complete POD 

Deliveries → Open Delivery → POD → Complete/Submit 

 

  1. Troubleshooting

I cannot see Supply Logic 365 

Check: 

  1. You are logged into the correct Business Central environment. 
  1. You are using the correct company. 
  1. Your user has the required permissions. 
  1. Supply Logic 365 has been installed and configured. 
  1. Your subscription is active. 

If the problem continues, contact your system administrator or Directional support. 

 

I cannot create a quotation 

Check: 

  • Customer exists and is active. 
  • Vessel information is available. 
  • Required items exist. 
  • Required fields are completed. 
  • Your user has quotation permissions. 
  • Required approval settings are configured. 

 

Inventory quantity is incorrect 

Check: 

  • Item location 
  • Open purchase orders 
  • Posted sales orders 
  • Warehouse movements 
  • Reservations 
  • Adjustments 
  • Recent transactions 

If the discrepancy remains, contact your system administrator. 

 

I cannot post a transaction 

Check for: 

  • Missing required fields 
  • Posting date restrictions 
  • Missing item setup 
  • Missing customer or vendor setup 
  • Insufficient inventory 
  • Posting group configuration
